We collect information you provide directly when you create an account, add team members, or use our features:

—Account information: full name, email address, company name, and country.
—Worker records: names, IRATA certification numbers, certification levels, and expiry dates.
—Equipment records: equipment names, types, serial identifiers, and inspection dates.
—Job Safety Analysis (JSA) documents: titles, tasks, hazards, controls, worker assignments, and signatures.
—Waitlist information: name, email, company, country, and team size submitted via our early-access form.
—Usage data: pages visited, actions taken, and timestamps — collected automatically to improve the platform.

2. How We Use Your Information

We use the information collected to:

—Provide, operate, and maintain the RopesTrack platform.
—Send certification expiry alerts and compliance notifications.
—Generate reports and compliance documents for your organization.
—Respond to support requests and communicate platform updates.
—Improve our services based on usage patterns and user feedback.
—Comply with legal obligations and enforce our Terms of Service.

We do not sell, rent, or trade your personal information to third parties.

3. Data Storage and Security

Your data is stored in the European Union using Supabase (supabase.com), a trusted database infrastructure provider. We implement industry-standard security measures including:

—Encryption in transit (TLS/HTTPS) for all data exchanged with our servers.
—Encryption at rest for all stored data.
—Row-level security policies so users can only access their own organization's data.
—Authentication handled via Supabase Auth with secure session management.

4. Third-Party Services

We use the following third-party services to operate the platform:

—Supabase — database, authentication, and storage (supabase.com).
—Vercel — application hosting and deployment (vercel.com).
—Anthropic — AI-powered report generation via the Claude API (anthropic.com). Report data is sent to the API and processed; Anthropic does not store your data for training purposes under their API terms.

Each service has its own privacy policy. We encourage you to review them.

5. Cookies and Tracking

RopesTrack uses session cookies strictly necessary to keep you logged in. We do not use advertising, analytics, or tracking cookies from third parties. We do not use any pixel trackers or fingerprinting technologies.

6. Data Retention

We retain your data for as long as your account is active. If you cancel your account or request deletion, we will delete your data within 30 days, except where we are required to retain it by law. Waitlist entries are retained until the waitlist program ends or until you request removal.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

—Access: request a copy of the data we hold about you.
—Correction: request that inaccurate data be corrected.
—Deletion: request that your data be deleted ("right to be forgotten").
—Portability: request your data in a structured, machine-readable format.
—Objection: object to certain processing activities.

8. Children's Privacy

RopesTrack is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal data, contact us immediately.
